What this policy covers
This policy applies to personal data we process in connection with:
- your use of this website;
- enquiries, contact forms and email correspondence;
- booking or requesting information about assessments, introductions or our services; and
- analytics and security measures used to operate and improve this website.
It does not cover customer contracts, proposals or service delivery agreements. Those arrangements, where they apply, are set out separately and are not published on this website.
Personal data we collect
Depending on how you interact with us, we may collect:
- Identity and contact details such as your name, email address, job title, company name and phone number, when you submit a form or email us.
- Enquiry details including the nature of your question, the operational decisions you mention, and any other information you choose to share.
- Technical and usage data such as IP address, browser type, device information, pages viewed, referring URL and approximate location derived from IP, collected through server logs and analytics tools.
- Communication records including emails and notes of calls where relevant to your enquiry.
We do not intentionally collect special category data through this website. Please do not include sensitive personal information in enquiry forms unless we have expressly asked for it.
How we collect data
We collect personal data:
- directly from you when you complete a form, email us or book a call;
- automatically when you browse this website, through cookies and similar technologies (see our Cookie Policy); and
- occasionally from publicly available business sources, such as company websites or professional profiles, where you have initiated contact or shown interest in our services.
How we use personal data
We use personal data to:
- respond to enquiries and provide information about our services;
- schedule introductions, assessments or follow-up conversations;
- operate, secure and improve this website;
- understand how visitors use the site so we can improve content and performance;
- comply with legal obligations; and
- establish, exercise or defend legal claims where necessary.
We do not sell personal data. We do not use website enquiry data to train public AI models.
Legal bases under UK GDPR
Where UK data protection law applies, we rely on one or more of these bases:
- Legitimate interests — to respond to business enquiries, run a secure website, improve our services and keep records of commercial conversations, provided those interests are not overridden by your rights.
- Consent — where we place non-essential cookies or send optional marketing communications (if we offer them). You can withdraw consent at any time.
- Contract — where processing is needed to take steps at your request before entering a contract, or to perform a contract we have with you.
- Legal obligation — where we must keep or disclose information to meet a legal requirement.
International transfers
Some tools we use may process data outside the United Kingdom. Where that happens, we take steps required by UK data protection law, such as using providers covered by an adequacy decision or putting appropriate safeguards in place (for example, the UK International Data Transfer Agreement or Addendum).
How long we keep data
We keep personal data only as long as needed for the purposes above, including to meet legal, accounting or reporting requirements.
- Website enquiry and contact records are typically kept for up to 24 months after our last meaningful contact, unless a longer period is needed for an ongoing discussion or legal reason.
- Server logs and analytics data are kept for shorter operational periods, usually measured in months rather than years.
When data is no longer needed, we delete or anonymise it where practicable.
Security
We use appropriate technical and organisational measures to protect personal data, including access controls, encrypted connections to this website (HTTPS) and limiting access to people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights
Under UK data protection law, you may have the right to:
- access your personal data;
- correct inaccurate data;
- request erasure in certain circumstances;
- restrict or object to certain processing;
- data portability in certain circumstances; and
- withdraw consent where processing is based on consent.
To exercise these rights, email hello@arctellis.com. We may need to verify your identity before responding. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Children
This website is aimed at business professionals. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will take appropriate steps.
Links to other sites
This website may link to third-party sites (for example LinkedIn or scheduling tools). Those sites have their own privacy practices. We are not responsible for their content or how they handle your data.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of this page shows when it last changed. Continued use of the website after a change means you should review the updated policy.
